About the Role

This role will work closely with the California leadership and business development teams, managing submissions end‑to‑end and ensuring our work is presented with clarity, consistency and impact. You’ll be a confident self‑starter, comfortable working autonomously while collaborating with teams across time zones.

Key Responsibilities

  • Lead the preparation and delivery of bids, tenders and submissions for the California studio
  • Manage submissions end‑to‑end, from brief interpretation through to final production
  • Curate and develop compelling written and visual content that clearly communicates design intent and capability
  • Coordinate input from Principals, project teams, consultants and external partners
  • Produce high‑quality submission documents using established templates and brand standards
  • Maintain and contribute to bid libraries, CVs, project data and marketing collateral
  • Track opportunities and support reporting through the CRM system
  • Support marketing initiatives, presentations and events as required
  • Ensure consistency, accuracy and brand alignment across all submissions.

About You

You’re a confident, experienced Bid and Submissions Manager who enjoys bringing structure, clarity and creativity to complex proposals. You’re comfortable working autonomously, take ownership of your work, and thrive in fast‑paced, design‑led environments.

You have a strong eye for detail, a clear writing style, and the ability to translate design thinking into compelling submissions. You build trusted relationships easily, work well across time zones, and can confidently collaborate with senior stakeholders, project teams and consultants.

You will be able to Demonstrate

  • 8–10+ years’ experience in bid writing, submissions or proposal management
  • Tertiary qualifications in Marketing, Commerce or a design‑related field
  • Advanced skills in InDesign, with strong capability across Microsoft Word and Excel
  • Excellent written communication skills with a strong eye for detail and layout
  • Confidence coordinating senior stakeholders and contributors
  • Strong organisational skills and the ability to juggle multiple bids simultaneously
  • A proactive, self‑starting approach and a collaborative mindset
  • A genuine interest in architecture, design and the built environment
  • The ability to produce clear and logical written communication and presentations in English.
