Receptionist – Part Time

**Please note: this is a part-time, on-site role based at our Perth Studio. We are looking for candidates who are available to work Monday to Friday, from 8:30am to 1:00pm**

About the Role

The Receptionist/Studio Assistant is responsible for managing the reception area, including welcoming clients and visitors, handling the telephone switchboard, and performing a range of general administrative tasks. This role may also involve supporting overflow work such as admin and data entry. Under the direction of the Studio Support Manager, the Receptionist/Studio Assistant will provide assistance to various team members across the Studio.

Key areas of Responsibility:

  • Coordinating the booking of meeting rooms, equipment, and catering, as well as setting up for both internal and external events.
  • Assisting the Studio Support Manager with travel arrangements and bookings.
  • Managing the onboarding process for all new starters.
  • Supporting studio culture and engagement by helping to organise studio functions, staff events, and client functions.
  • Acting as the first point of contact for staff, clients, and visitors, with a warm, professional, and enthusiastic approach.
  • Managing studio supplies, including stationery and amenities orders.
  • Providing basic IT support and liaising with the regional IT team as needed.
  • Entering invoice data under the guidance of the Studio Support Manager and Accounts team.
  • Handling all mail-related duties, including sorting incoming and outgoing mail, distributing internally, and arranging couriers.
  • Ensuring the studio, meeting rooms, and kitchen areas are clean, tidy, and well-maintained.
  • Serving as a liaison with building management for tenant-related matters.
  • Providing general administrative support, including document formatting, typing, binding, copying, collating, and preparing reports and correspondence.
  • Coordinating the delivery and return of material samples with product suppliers.

You’re confident with Microsoft Office and comfortable learning new systems, with a calm and adaptable approach to managing busy days. Required Experience and Skills:

  • Completion of formal training in reception and/or secretarial duties, or equivalent relevant experience
  • Strong written and verbal communication skills in English
  • Proficient in basic computer use, internet navigation, and keyboard skills
  • Ability to manage multiple priorities effectively, often under pressure
  • Intermediate proficiency in Microsoft Outlook, Word, Excel, and PowerPoint (essential)
  • Experience with Adobe InDesign is an advantage
  • A Certificate in Business Administration is desirable but not essential
