Studio Operations Manager

Our busy London studio is looking for a Studio Operations Manager to join our team of high performers.

Key Responsibilities:

Studio Operations

  • Manage Front of House including line management of the Receptionist position
  • Manage all studio supplier relationships and contracts, ensuring that price and quality are maintained
  • Manage the studio facilities to ensure a high standard of presentation and function
  • Manage all planned and unplanned maintenance
  • Manage the studio facilities budget, liaising regularly with the Finance Team
  • Maintain the studio seating plan and coordinate studio moves as required
  • Responsible for all Health & Safety matters for the London studio
  • As Studio Travel Manager, oversee travel and accommodation bookings for the studio
  • Take minutes for management meetings when required
  • Ad hoc management of internal events, which may include arranging couriers/bookings
  • Manage the archiving as required
  • Manage the coordination between other studio functions
  • Report on the running of the studio, and identify/escalate any studio issues to the Studio Chair
  • Provide day-to-day operational and admin support to the Studio as required, including cover for Front of House reception duties ensuring a high-quality client experience
  • Ad hoc assistant for other admin duties that may change from time to time

People & Culture Support

  • Assist with the recruitment processes, e.g. scheduling interviews
  • Coordinate the onboarding of new hires, induction programmes and undertake studio orientation Work with P&C Manager on P&C programmes and initiatives (e.g. employee engagement, culture and values, diversity and inclusion)
  • Coordinate the annual appraisal process for the studio

Finance Support

  • Take ownership and control of the office expenses/invoices
  • Code invoices to the correct account code and upload onto internal systems for payment
  • Send out documents for authorisation and ensure they are returned timely

Work Experience/Technical Skills

  • Experience in a similar role essential
  • Office Management protocols knowledge is essential
  • Workplace Health & Safety knowledge is essential
  • Experience in minuting meetings
  • Line management experience
  • Experience with managing and controlling the expense cost of an office
  • A high level of skill using Microsoft packages and Microsoft Outlook is essential

Qualifications and skills

  • Qualifications in Business Administration or Human Resources highly regarded
