The Role

We have a fantastic opportunity for an enthusiastic administrator to join our small and supportive HR (People and Culture) team on a permanent basis in our Melbourne studio. Based in our Melbourne studio and reporting to the Global Leader, P&C Operations, this role is varied, exciting and focused on quality service and support.

The purpose of this role is to provide the operational and administrative support needed to implement and deliver key strategic and operational people related processes (e.g. annual people and employee life-cycle matters).

A large component of the role will involve you in the Human Resource Information Systems (HRIS) administration for the Australian region and HR System Administration support globally. Working closely with the Global Leader, P&C Operations, you will be responsible for developing, coordinating and implementing the tools, resources and processes required to effectively and efficiently support the delivery of operational people related matters and employee life cycle events.

Your Responsibilities

  • Preparing, developing and coordinating the production of Excel spreadsheet information, analytics and reporting to support the delivery of these people related processes across our global studio (including data entry, collection, follow up and analysis, reporting and digital filing on our various systems)
  • Preparing presentations, documents and monthly reporting on P&C metrics
  • Updating and maintaining online employee records on our HRIS system (SuccessFactors)
  • Providing HRIS systems and administrative support
  • Preparing employee letters, employment contracts, contract variations and associated tasks
  • Writing and maintaining engaging P&C related content on the Intranet
  • Coordinating P&C Policy reviews
  • Scheduling meetings across multiple time zones

Selection Criteria

The selection criteria include the qualifications, experience and capabilities required for the role. Your application will be reviewed based on ability to demonstrate, or potential to develop, the capabilities required. You must also have the legal right to work in Australia (an Australian citizen or Permanent Resident).

Qualifications and Experience

Your passion and willingness to deliver HR operations, processes and HRIS systems administration outcomes will be reflected in your qualifications and / or experience. While not essential, you may be undertaking or have completed a Human Resources Management or business discipline tertiary qualification, certification or diploma.

The key experience required to succeed in this role:

  • Relevant administrative experience ideally gained in e.g. an engineering or professional services environment, global Architectural firm or commercial Real Estate
  • Intermediate to advanced hands-on knowledge of how to use Excel (including VLOOKUP, pivot tables and graphs), other Microsoft Office applications particularly Word (mail merge) and PowerPoint, and SharePoint.
  • The demonstrated ability to think critically when extracting and interpreting information; analyse data to identify trends and risks, and to think laterally about issues
  • Exposure to using Human Resource Information Systems (ideally, SAP SuccessFactors). Technological adaptability is beneficial.
  • A mindset which enables you to multitask, and to manage time and processes effectively
  • Exceptional organisation skills coupled with a passion for providing continuous improvement support to HR operational processes and projects
  • An ability to work under pressure, meet tight timeframes and manage competing demands
  • Understand the importance of maintaining confidentiality
  • Excellent interpersonal and communications skills, particularly in a diverse environment
  • Demonstrated professional writing and verbal communication skills with proven accuracy and attention to detail
  • Ability to work as part of a global team and as well as independently in a fast-paced environment
  • Flexibility to attend meetings across multiple time zones
