Woods Bagot (W-B) is seeking a creative, thoughtful, and organized Marketing Proposal Coordinator based in New York, NY for immediate hire. The candidate will support marketing efforts for our New York Studio and  join the North America Business Development Marketing Communication (BDMC) Team which is responsible for providing services and advice to support market sector and business growth in local and global markets.

The Marketing Proposal Coordinator will play a key role in the success of W-B’s business goals through:

  • Utilizing Indesign for the graphic and content production of documents including proposals, statements of qualification, general brochures, and qualification or proposal related presentations. The Marketing Proposal Coordinator will work on these documents from both the perspective of a prime contract holder as well as a consultant for collaborative project pursuits.  
  • Scheduling and participating in proposal and/or presentation kick-off meetings including “how to win” sessions with our global thought leadership, establishing timelines, deadlines, and coordinating data requests for internal team and sub-consultants, preparing data requests, facilitating team member questions and answers, creating response outlines, coordination of design customization and/or proper branding, preparing necessary forms, final document production (printing, copying, tabs/covers, collating, binding, etc.), and the ultimate delivery of proposals, statements of qualifications, and presentations.  
  • Additional responsibilities include general research for appropriate project opportunities across multiple market sectors, as well as CRM data input and informational updates, marketing collateral and boilerplate updates and coordination, and collaboration with all marketing team members. Some content creation and editing of writing and content for documents will be necessary. 

The ideal candidate will be engaging, high-energy, collaborative, flexible, and willing to integrate and learn about W-B’s culture, business goals, and credo from the inside out. A team player, a self-starter, and the ability to be adaptable to changing situations is highly desirable. You will have a keen eye for detail, excellent writing and editing skills, and possess a strong graphic sense – understanding the type of effective graphics and images that engage the audience.  Work will often be fast-paced and done in a deadline driven environment so the candidate will need to switch directions whenever needed. Some travel to meetings in various locations may be required.  

Skills and Qualifications include: 

  • Genuine interest in the design and architecture industry
  • Associate or Bachelors Degree in Business Administration, Marketing, Graphic Design, Journalism, or a related design field
  • 5+ years of marketing or administrative experience in a professional services firm.
  • Microsoft Office Suite experience (Outlook, Word, PowerPoint, Excel, etc.) 
  • Adobe Creative Suite experience (InDesign is required, Illustrator and Photoshop experience a plus) 
  • Ability to interpret complex documents

Time management skills including the ability to balance competing priorities in a fast-paced environment 

  • Ability to coordinate multiple, sometimes concurrent, assignments and deadlines
  • Excellent writing and copyediting skills including experience reviewing, organizing, translating, and editing written documents to improve clarity 
  • Ability to take initiative by anticipating tasks and to look for ways to add value to the process/procedures of proposal and document creation 
  • Comfort with phone conversations 
  • Strong organizational skills and attention to detail
