Executive Assistant – Marketing Team

About the role

Exciting opportunity to join a top tier architecture studio with 16 studios globally. As part of the Global Client Stream team your role with span across the globe, liasing with different people with various roles and responsibilities. You will take ownership of the monthly meetings that hold this global team together and autonomously produce the report that goes up to senior management.

Based in Sydney, this role will see you pair regular EA responsibilities with your creative abilities to also support the marketing team with content production and coordination of digital assets as required. You will need to have graphic design capabilities, writing confidence and are able to use InDesign.

This role is fast paced and within an innovative business that is constantly evolving. To be successful in the role you are a self starter, effective communicator and someone that is happy to support where required.

 

Key Responsibilities:

  • Diary management and translation to timesheets
  • Manage, coordinate and distribute monthly meeting agenda and take minutes.
  • Monthly preparation of studio executive report independently
  • Coordinate and deliver timely, accurate and reliable administration support
  • Team assistant to the Marketing Team
  • Creation and amendments to graphics and templates
  • Ensuring that all necessary and appropriate databases, records and documentation are maintained and held in a safe and secure manner.
  • Assist with production of marketing materials as required
  • Assist with client management with maintenance of CRM database, event and meeting management and relationship strategy.
  • Prepare ad-hoc reports as required.

 

About you

You are reliable, self motivated and able to work independently with minimal supervision. You are honest and reliable and able to communicate effectively.

You will be able to demonstrate:

  • Ability to demonstrate a minimum 3+ years’ experience as an Executive Assistant.
  • Previous experience in marketing or similar creative industry
  • Excellent written & verbal communication skills.
  • Confidence in graphic design abilities
  • Ability to write content
  • Professional and focused when working under pressure.
  • Ability to juggle multiple tasks and priorities conflicting deliverables
  • Highly developed organisational, time management and problem solving skills.
  • Excellent MS Office skills, particularly Word, Excel and PowerPoint.
  • InDesign skills are a strong advantage
