About the role The Assistant Accountant will support and manage the administration and maintenance of studio accounting and associated processes to ensure that the business has an effective and efficient financial function. Reporting to the Studio Accountant, you will be part of a small, experienced and proactive Finance team: Supporting the Sydney office in managing the accounts payable function, timesheets, project and resourcing updates, debtors, leave, payroll report and any other finance administrative tasks as required Supporting the Brisbane and Perth offices’ accounts payable function The point of contact within these studios. For example, training new hires in how to use these processes, following up with employees e.g. submission of timesheets, invoices, expenses Assisting the Regional Finance Manager, Studio Accountant, Studio Management Leader and Studio Executive Chair Studio with administrative and accounting tasks. Your responsibilities will focus on five key areas: 1. Accounts payable End to end management of all accounts payable processes, including data entry of all supplier invoicing processes, account set ups, maintenance and approvals End to end management, reconciliation and processing of employee expense claims, travel related cab charges and corporate credit cards Monthly forecasting and cost spend tracking 2. Timesheets Create and maintain employee profiles within Woods Bagot’s project and financial management tool (BST) and follow up with employees as required to enable accurate and timely monthly timesheet reporting. 3. Project setup, resourcing and management Create and maintain projects in BST. To support the effective management of studio projects: Assist the Studio Accountant in setting up monthly studio project review meetings, and with project reconciliations Assist Project Leaders with financial detail on projects Run weekly pipeline meetings with the Business Development and management team to ensure all bids and opportunities are recorded correctly. 4. Debtors Undertake the end to end processes required to effectively support the management of debtors 5. Leave / Payroll reporting Review, reconcile and follow up on all employee leave records to ensure it is accurately submitted through our HRIS system and prepare Payroll monthly review to confirm accuracy of all employee data and information. Qualifications, experience and skills The qualifications and experience required to succeed in this role: Bachelor’s Degree or Certificate in Business, Accounting or Commerce 2+ years’ experience (or equivalent) in an Accounting role Advanced hands-on knowledge of Microsoft Excel and Microsoft Outlook is essential You will be able to demonstrate: An ability to work as part of a team and as well as independently A flexible, proactive and adaptable approach to change coupled with a willingness to learn and a demonstrated ‘can-do’ attitude Professional writing and verbal communication skills in addition to active listening skills A track record in being able to prioritise tasks and manage time effectively An ability to follow through on commitments A proven track record in achieving thoroughness and accuracy when accomplishing a task Problem-solving and influencing capabilities How to apply Please send your CV and covering letter through our LinkedIn job post for the Assistant Accountant.
